Systems Administrator

About This Opportunity

The Systems Administrator is the recognized IT Administration expert within IFM and acts as an informal resource for colleagues for general technology services support.  In this role, the Systems Administrator will work independently with minimal guidance, anticipate IFM’s technology needs, and make recommendations for process, product, and service improvements to resolve technology challenges across IFM. This role requires a specialized depth of expertise and knowledge in IT Administration, skills in organization and communication, and experience identifying key issues and patterns to see the wider implications beyond the immediate problem.  Under the direction of the IT Manager, this role is responsible for:

  • IT/Systems Administration
  • Network/E-mail Administration
  • IT Help and Support
  • IT Project Management
  • Managing and Supporting Custom Integrations

Essential Functions:

  • IT/Systems Administration
    • Configures, installs, maintains, and upgrades computer systems hardware (including mobile and telephone), software, applications, licenses, firmware, warranties, tags, etc. – monitors lifecycles and makes recommendations for future purchases;
    • Manages and maintains IT vendor relations for hardware, software, web services, cloud storage, VOIP, phones, servers, security, etc.;
    • Administers and maintains security of operating systems, writes and implements backup procedures, restores files or systems, performs recovery procedures, and monitors batch processes;
    • Develops and implements procedures for conducting the evaluation and testing of hardware and software for possible impact on system security or integrity;
    • Develops and tests plans to ensure the continuity of critical business functions and minimize information loss in the event of a disaster or malfunction. Plans, set up and test backup systems ensuring that ALL systems can be brought up and running quickly, institutes loss-reduction mechanisms to lessen exposure to disaster/malfunction risks;
    • Evaluates, tests, recommends, develops, and maintains IT security policies, procedures, and systems, including hardware, firmware, firewalls, and software;
    • Identifies security risks, investigates and resolves security incidents, determines the causes of security violations, and recommends enhancements to improve security.
    • Manages the Microsoft CRM system. This includes configuration, installs, upgrades, patches, and integrations.
    • Creates new tables, views, and stored procedures in SQL as necessary.
  • Network/E-mail Administration
    • Manages the IT infrastructure within IFM, including the physical network as well as server applications, VOIP, phone, and software – conducts internal studies of network performance, event logs, and traffic analysis;
    • Researches networking requirements, prepares detailed architectural and installation plans, conducts cable/equipment installations and maintenance, and evaluates new technologies;
    • Installs, manages, maintains, tests, and analyzes network facilities, control software, routers, switches, lines, modems, adapters, servers, LAN/WAN, etc.;
    • Monitors data traffic and controls network resource performance to ensure high quality transmission;
    • Identifies, diagnoses, and resolves technical problems related to network failure/integrity and usages of hardware/software;
    • Provides overall administration and support for e-mail applications and file sharing, ensures the system’s integrity and security are not compromised, monitors virus alerts, measures and manages e-mail capacity and utilization.
  • IT Help and Support
    • Responsible for training, supporting, and backing up the other IT roles.
    • Creates new accounts and profiles, conducts a wide range of tests and analyses to ensure that hardware/software meets or exceeds specified standards, coordinates with users to ensure new hardware/software is integrated successfully, documenting all problem resolutions;
    • Maintains records, prepares, schedules, and implements tech support and setup procedures for on-site conferences, ensures all on-site event and conferencing hardware/software are up-to-date, functioning, and user ready;
    • Provides ongoing operational/technical support for IFM’s information systems, software, phones, applications, and hardware, such as application servers, database servers, web servers, desktops, POS, printers, mobile, VOIP, storage devices, etc.;
    • Answers questions regarding any general IT system procedures, hardware, software, online transactions, systems status and downtime procedures;
    • Develops, catalogs, and maintains documentation of IT systems and applications develops job aids and support documents for users, coordinates and conducts instruction or training as necessary.
  • IT Project Management
    • Responsible for planning and implementing projects that involve or need IT.
    • Tracking project status and communicating needs to meet milestones
    • Responsible for meeting with other departments to illicit and understand requirements.
  • Manage and Support Custom Integrations
    • Manage Custom built Integrations and systems built by 3rd Party contractors.
    • Management of Dynamics 365 CRM and custom code.

Job Specifications

Skills Required:

  • Must have demonstrated expertise with MS Office Suite, Office 365, MS Exchange, Active Directory 2008R2, Microsoft SQL Server 2015, Dynamics 365, Hubspot, Always on VPN, SCCM, SonicWALL, Windows OS, Windows Server 2012, Hyper-V, Mac OS, telephony systems, VOIP, mobile platforms and devices, and cloud services management (AWS);
  • Must have the willingness and ability to adapt to and learn new technologies, hardware, and software;
  • In depth working knowledge of system design, build, testing and troubleshooting.
  • Capable of interpreting technical specifications and to building processes.
  • Must be able to compose materials such as reports, guides, instructional aids, work-related manuals, and/or instruct others virtually, via the phone, and in person. Translates business requirements into technical specifications.
  • Defines problems, collects data, establishes facts, and draws valid conclusions. Must be able to work independently, collaborate on processes, goals, schedules, and outcomes, and act as a lead, coordinating with others but not as a supervisor;
  • Must have excellent communication skills and be able to communicate large amounts of information into concise, actionable language over the phone, in person, and via electronic media – and across multiple geographical locations;
  • Must be able to make decisions guided by policies, procedures, and business plans that will have an impact on multiple areas across IFM;
  • Must be able to compose materials such as reports, guides, instructional aids, work-related manuals, and/or instruct others virtually, via the phone, and in person.
  • Must be able to receive guidance and oversight from IT Manager.

Education, Licenses, Certificates:

  • Bachelor’s degree in computer related field or equivalent work related experience required;
  • CompTIA certifications (A+, Network+, Server+, i-Net+), MCP, MCSA preferred
  • Microsoft Dynamics CRM experience preferred
  • 5+ years experience
